Cost Calculator
A few numbers in, one uncomfortable number out: what the problem you have not fixed costs you per day.
The problem
Executives and decisionmakers in charge of operations and budgets often need more than big, beautiful datapoints and aesthetically pleasing reports. Somewhere in the Informational phase of the customer journey, they need to see a personalized case made for your business in scenarios where minds still have to be changed. A case study is fine, but they don’t need to know how much money you made for someone else. They need to know your impact on their own bottom line.
The solution
Interactive ROI calculators are nothing new. But my calculator has a few features that make it worthwhile for busy execs with a lot riding on their daily decisions:
- Usability: it is streamlined ruthlessly to save work on the user’s end. It’s responsive for phones and has clear pathing on desktop.
- Data mix: Depending on the industry, it relies on a mix of publicly available data (to prove you are speaking the same language) from trusted sources, and your internal data (to prove you are bringing unique value).
- It makes a strong, quantitative case honestly. There are no built-in guardrails preventing it from saying “No, this isn’t for you.” Otherwise, why are we calculating anything at all?
- It demonstrates your strategic, consulative value and ends on a clear CTA for next steps. It’s part of an inbound path for clients discovering you and learning what they need.
The model
Fully working. Change any input and every figure recalculates.

Where the default figures come from
1. Manual processing cost of $15.97 per invoice, automated cost of $3.24, and a 3.6% invoice error rate are attributed to the Institute of Finance & Management's AP Benchmarking Report, as compiled in Parsli's data entry statistics roundup (2026). An older Aberdeen Group figure of roughly $15 per manually processed invoice is cited by Fiscaltec and is consistent with it.
2. The $53.50 cost to identify, investigate, and rectify a single invoice error is attributed to IOFM, as reported by Parsli (2026).
3. For context on how common the manual process still is: the Association for Financial Professionals found 44% of organisations still perform manual data entry for bank reconciliation, per the same Parsli compilation, and a 2025 Kani Payments survey of 250 financial institutions found 56% still reconcile in spreadsheets, as reported by Tier2 Systems.
These are published industry benchmarks, cited so the tool's starting values are traceable. They describe the sector, not any client of mine, and no figure on this page is drawn from real client data.
How I made this one
Using Claude Design and other tools to research authoritative data resources, the cost calculator has the flexibility to operate within a variety of frontend modes and styles. That’s important when six digit budgets depend on the ability to display properly in the browser.
